This explains what happens to the recordings, transcripts and contact details that pass through Ansa. It is written for the business owner buying the service and for the people who ring them.
Who is responsible for what
The business you are calling decides why the call is handled and what happens to the booking — in data protection terms they are the controller. Ansa processes that data on their instructions, as their processor, under a written agreement.

What we hold
- The caller's telephone number, unless it is withheld.
- An audio stream of the call while it is in progress, used to understand and reply.
- A written transcript of the call, both sides.
- Anything the caller gives in order to be booked in — usually a name and a contact number.
Telling callers
Every call opens by naming the business, stating that the assistant is an AI, and stating that the call may be recorded. This cannot be switched off by any customer on any plan.
What we never do
- We do not take card or payment details over the phone. If something needs paying for, a payment link is sent by text.
- We do not sell data, and we do not use one business's calls to advertise to another.
How long we keep it
Transcripts are kept for 90 days by default and then deleted. Bookings and messages are kept for as long as the business remains a customer, because that is their record of the work. A business can ask for a shorter retention period, and any individual can ask for their own data to be deleted.
Where it is held
Data is stored on servers in the United Kingdom or the European Economic Area.
Suppliers
Two suppliers necessarily see call data in order to carry the call and understand it: our telephony provider, which carries the audio, and our speech model provider, which turns speech into a reply. Both are engaged under data processing terms.
Your rights
You can ask what we hold about you, ask for it to be corrected or deleted, and complain to the Information Commissioner's Office if you are unhappy with how it has been handled. Write to waynejackson2074@gmail.com and we will respond within one month.
